Schedule a Cisco Spark Meeting from Your Space

With Cisco Spark, you can invite everyone from your space to meet at a scheduled date and time. You can create a meeting invitation for Microsoft Outlook, if you have it, or copy meeting information to your calendar.

After you create the invitation in Outlook or another calendar, you can invite people who aren't members of your space by adding their email address. When people who aren't members of the space join the meeting, they wait in the "meeting lobby" until a member of the space joins. Anyone who doesn't have a Cisco Spark account is prompted to create one before joining the meeting. You can also remove email addresses from your Outlook or other calendar invitation.

Meeting scheduling is not available for the following:
  • People with free or messaging-only accounts.
  • Spaces with fewer than three people, such as private conversations.
  • Spaces with 26 or more people.
   


 

Windows and Mac (Microsoft Outlook)

You can create a meeting invitation that opens automatically in your Outlook calendar. The invitation includes a link that people can use to join the meeting and the email addresses for everyone in your space. This option is available only for the Windows and Mac desktop versions of Cisco Spark when Outlook is installed.
  1. From your space, select the activity menu
  2. Select Meetings
  3. Select Create Invite in Calendar. An invitation automatically opens in Microsoft Outlook, containing this information:
    • The name of the space as the subject line.
    • Email addresses for the people in the space.
    • A link to join the meeting.
  4. Select the meeting date and time.
  5. Make any additional changes, as needed:
    • Add email addresses for more people you want to invite.
    • Add more information about the meeting, such as an agenda.
  6. Select Send.


 

Windows, Mac, and Web (Other Calendar)

You can copy the email addresses and meeting link from your space to create a meeting invitation.
  1. From your space, select the activity menu
  2. Select Meetings
  3. Select the arrow next to Copy Meeting Information.
  4. Select Copy Email Addresses.
  5. In your calendar application, open a new meeting or calendar item and paste in the email addresses.
  6. In Cisco Spark, select Copy Meeting Link.
  7. In your calendar application, paste the meeting link in the meeting or calendar item.
  8. Select the meeting date and time.
  9. Make any additional changes, as needed:
    • Add email addresses for more people you want to invite.
    • Add more information about the meeting, such as an agenda.
  10. Send the invitation.



 

iPhone, iPad, and Android (Other Calendar)

You can copy the email addresses and meeting link from your space to create a meeting invitation.
       
  1. From your space, tap the activity menu 
  2. Tap Meetings
  3. Under Copy Meeting Information, tap Copy Email Addresses.
  4. In your calendar app, open a new meeting or calendar item and paste in the email addresses.
  5. In the Cisco Spark app, tap Copy Meeting Link.
  6. In your calendar app, paste the meeting link in the meeting or calendar item.
  7. Select the meeting date and time.
  8. Make any additional changes, as needed:
    • Add email addresses for more people you want to invite.
    • Add more information about the meeting, such as an agenda.
  9. Send the invitation.
